  #3: Organize, organize, organize!
To make it ever easier to organize and locate your contacts, separate them into categories. For example, you can create one category for Friends, one for Family, and one for Work. Of course, you can have dozens of categories; how many you create depends on how many contacts you have and what works best for your personal needs. Here's how you create new categories on your PDA (palm OS):
  • From the Main Menu, tap on "Address" (or press your Address Book button).
  • At the upper-right side of the screen, you will see the word "All" with a dropdown menu. Tap on the dropdown arrow.
  • Tap on "edit categories..."
  • Tap on "New."
  • Enter a new category name and tap "OK."
  • Tap "OK" again.
  • Open up a contact who would belong to the category you just created. At the top left, you will see that it says, "Unfiled."
  • Tap on "edit."
  • Tap on "Unfiled" (or whatever old category it may have) at the upper right, to reveal the dropdown.
  • Tap on the category name you just created.
  • Tap "Done."
You can do this for every contact, using many categories. Then, when you need to access a contact, or see everyone in a particular category, you can specify that category in the Address Category Dropdown. This is especially useful when you are scanning business contacts.


#2: Incorporate HIPAA standards into your PDA.
If you use your PDA for patient, client, or employee tracking, make sure you take necessary precautions in order to be HIPAA-compliant:
  • Use the security feature that allows you to password protect your device.
  • Use initials when ever possible.
  • Never leave your handheld device unprotected.
  • Delete records (files) as often as possible to remove any data that is not needed.


#1: Play Before You Pay.
Before you buy new software for your Handheld, download a demo, or ask for a demo CD. Being able to "play before you pay" allows you to:
  • Make sure it meets your expectations.
  • Make sure it runs on the operating system YOU have (e.g. some programs don't run on the new Palm OS 5 but will run on Palm OS 4).
  • Make sure the information and functionally the software provides is actually suited to your needs on a day-to-day basis in your work.
If the manufacturer does not offer a demo, reconsider your purchase.
